On November 1, 2020, the City Manager awarded unit price contracts for providing document management services to Advanced Imaging Systems, Inc. (2021000423) now three companies: 10/19/2023 - Permitium LLC, (2024000272) Scribbles Software LLC (2024000273) - soon to be changed to Instructure Holdings, Inc., Advanced Imaging Systems a Docufree Company (2024000278), CST Data, Inc. (2021000425), Distribution Technology dba Record Storage Systems (2021000426), Patterson Pope dba FileSolve (2021000427), Iron Mountain (2021000424), and Mar's Recycling and Shredding (2021000429). The contracts were competitively solicited by the City on behalf of itself and all other local governments, school districts, and higher education institutions in the United States of America, and other government agencies and nonprofit organizations, and in compliance with the competitive bidding laws of the state of North Carolina.

Contract Initial Term: November 1, 2020 - October 31, 2023
Contract Terms: 3 years w/ 2 1-year renewals
Renewals Left: 1 one-year renewals
Current Amendment #: 4 (Current Contract Expires on 10/31/2024)

All quotes must reflect the contracted prices as specified in the Price Schedule of the Contract. Any price reductions, special offerings, sales, or promotions occurring during the term of the Contract, shall be passed on to the Lead Public Agency and all Participating Public Agencies as soon as they are announced by the manufacturer or Service Provider and shall be considered part of the Contract.

Participating Public Agencies are required to register with the CCPA to use the contracts. Agency registration can be completed at CCPA Agency Registration. There is no cost to the Participating Public Agency.
